In Operation, What Actually Happens in the Room Counts
A measurement in the operational state is only meaningful if the activities performed during the measurement are documented. Without that link, neither an elevated particle concentration can be explained later nor the representativeness of the result demonstrated – a point regularly raised during inspections.
Activity List per Sampling Location Group
An activity list is kept for every sampling location group. It records first name, surname, department, the activity performed and an optional comment. The target number results from the number of persons entered during the measurement, whereby multiple entries by the same person count once. For clean-up measurements entries are recorded per individual test, for particle measurements per sampling location group – in each case for measurements with and without a work order. Qualification measurements, particle gas measurements and zero count measurements are excluded.
Two Forms of Confirmation
What is new is that the form of confirmation is configurable. Both variants are documented equally, but differ in the on-site workflow:
- Signature: the activity is confirmed with a digitally hand-drawn visum.
- Witness: no handwritten signature is required. The activity is recorded via person, department and timestamp and is confirmed in the report by the operator performing the measurement acting as a witness – with name and login, and with all participants where several operators are recorded.
Activities That Are Traceable Without Follow-Up Questions
For confirmation by a witness to carry weight, the activity itself has to be described meaningfully. The input field therefore holds up to 300 characters instead of the previous 30 and displays the text in full, without scrolling. The suggestion list from the master data is retained and shows designation and short description; when an entry is selected, the free text field adopts exactly the text that will later appear in the report – which can then be extended or shortened. The full text is stored, transferred and printed, and is never truncated.
Invalidation Instead of a Gap
If a required confirmation cannot be obtained, for example because the person concerned is no longer available, it is invalidated with a stated reason. In the report the note "Signature invalidated" appears in place of the activity, with the reason shown in the comment. Invalidated entries are visually distinguished from genuine ones in the list. Records are never modified or deleted, only set invalid – analogous to invalidating a measurement.
Processing Status Follows the Recording Obligation
Where the recording obligation is active, a fully measured sampling location group only counts as completed once no activities remain outstanding – otherwise it stays in progress. If an entry is submitted subsequently or invalidated, the status updates automatically.
Whoever works in the cleanroom belongs in the report – traceable, complete and without a media break!
